Client comments and client reports

Tidy timesheet comments for clients without changing what was recorded, and produce client project reports.

People write timesheet comments for themselves and their approver. Before comments reach a client, someone with Tidy timesheet comments for client reports can give any entry a comment for the client. The original comment is never changed.

Tidying comments

  1. Open Reports → Client comments.
  2. Choose the Project and the dates, and what to Show:
    • Without a client comment: the entries still to do.
    • Original changed since: entries whose original was edited after the client comment was written, so it may need updating.
    • With a client comment, or All entries.
  3. Each entry shows its date, person, task, hours, treatment and Original comment. Type the Comment for the client beside it.
  4. Select Save comments. Only the comments you changed are saved.

To remove a client comment, empty it and save.

What clients see

Client reports use the comment for the client where there is one. If there is none, they show no comment, unless the project's setting Use original timesheet comments on client reports is on, in which case they show the original.

Client project reports

Open Reports → Client project report, choose the Project and the dates (last month to start with), and select Show. The report shows approved time only, as billed:

  • One row for each person's work on a task on a day, with the comments for the client.
  • Billable hours are the billed hours, after rounding and less anything written off. What was written off shows as Non-billable hours, as does time that was not billable.
  • Free-of-charge time counts as non-billable, unless the setting Show free-of-charge time separately on client reports is on. Then it has a column of its own.
  • No money is shown.

If some entries have no comment for the client yet, a warning says how many. Select Tidy comments to add them. Download Excel gives the same report as a spreadsheet to send to the client.
