Administration

Exporting your data and closing

Download everything your organisation holds, or close the organisation when you stop using Resource Manager.

Under Administration → Export and close you can take a full copy of your organisation's data at any time, and close the organisation when you stop using Resource Manager. By default only owners can do this. It needs the Export all the organisation's data, and close the organisation permission.

Exporting all your data

Select Download all data. You get a ZIP file containing:

  • organisation.csv: the organisation itself;
  • members.csv: everyone in it, with their email address;
  • tables/: one CSV file for each kind of record (clients, projects, timesheets, leave and so on), holding your organisation's rows;
  • files/: everything uploaded, such as policies.

Money is in pence (columns ending in _minor) and durations are in minutes. Passwords, secrets and sign-in codes are never included. Sickness, rates and one-to-one records are included only if you have permission to see them. Every export is recorded in the audit log.

Closing the organisation

  1. Export your data first: once it is deleted, it cannot be recovered.
  2. Under Close the organisation, type the organisation's name exactly as shown.
  3. Select Close the organisation.

Once it is closed, nobody, including you, can open it, and every owner gets an email. All of its data is permanently deleted 30 days later. Until then, Resource Manager support can reopen it if you change your mind.

People's own accounts are not deleted. They can still sign in to any other organisation they belong to.
