Billing and write-offs
How approved time is valued, rounded and written off, and where to see it.
When a timesheet week is approved, Resource Manager values it in the billing ledger. Open Administration → Billing, or Billing on the Reports page. You need to be able to see charge rates (or pay rates, for the Pay view).
How time is valued
- Recorded time is never changed. Only the billable amount is rounded.
- Time is added up per person, per task and per day (or per week, or per entry, as the project's Round per setting says), and then rounded to the minimum billable increment using the project's Rounding setting. Two half hours on the same task and day make one hour.
- Time with different charge multipliers is never added together.
- Free of charge and non-billable time is not rounded or charged. Free-of-charge time is shown at rate so you can see what was given away.
- Each line uses the rate that applied on the day (see Rate cards). A day rate is divided by the project's hours in a day. If no rate applies, the line says No rate and is valued at zero until a rate is set and the week is re-approved.
- Cost (for margin) uses the cost rate on recorded time. VAT follows the client's VAT treatment and is shown on the total, never stored in the rate.
Open any line to see exactly how it was valued.
Corrections
The ledger is never edited. If an approved week is reopened, its lines are reversed, and re-approving writes new ones. Both are kept.
Writing off time
People with Write off billable time can write off part or all of a billable line:
- Open the line from Billing.
- Enter the Time to write off, and choose a Reason: overrun, goodwill, rework, commercial concession or other (with a note).
- Select Write off.
The value written off is worked out at the line's rate. Write-offs appear separately from free-of-charge time in internal reports, and clients see the remaining time as billable. Every write-off is recorded in the audit log.
