Clients
Client settings
Give a client its own currency, VAT, billing increment and rounding — or keep the organisation's.
Open a client and choose Billing and settings. Each setting has two choices:
- Use the organisation's setting shows the value the client gets now from your organisation settings.
- Set for this client gives the client its own value.
Select Save. Anything left on Use the organisation's setting follows the organisation, so changing the organisation's setting later changes it for this client too.
What a client can change
| Setting | Example |
|---|---|
| Currency | A client in Germany billed in euros |
| VAT treatment and rate | Reverse charge for a client outside the UK |
| Out-of-hours work billed as, and its multiplier | A client whose out-of-hours work is always free of charge |
| Normal-hours work, hours in a billable day | A client on a 7.5-hour day |
| Minimum billable increment, rounding, round per | A client billed in 15-minute increments |
| Show free-of-charge time on client reports | A client who wants to see goodwill time |
Locks
- If the organisation has locked a setting, the client page shows the value with a lock icon and locked by the organisation. It cannot be changed for the client.
- Where a setting can be locked, Set for this client also has a Lock box. Locking it means this client's projects and tasks must use the client's value.
For example, if the organisation bills in 1-hour increments, unlocked, and this client is set to 30 minutes, the client's projects are billed in 30-minute increments.
Every change is recorded in the audit log.
Applying billing to time already recorded
Changing whether work is billable affects only time recorded from then on. To change time already recorded, for example after marking internal work non-billable, save the setting first, then under Apply billing to time already recorded choose the first day to change and select Apply to time already recorded. You need to be able to manage rates as well.
Each entry gets the billing it would get if it were recorded today, in or out of hours. Entries already billed that way are left as they are. Approved time is valued again: the week's ledger lines are reversed, with the reason, and the week is valued afresh, so reports, budgets and the billing ledger all agree. Weeks that are locked or exported, or that have write-offs, are left alone, and the message says how many entries that was. The change is recorded in the audit log.
