Administration

People

Invite colleagues, record their job title, dates and line manager, put them in departments, and choose their roles.

The People page lists everyone in your organisation with their job title, departments, line manager and roles. You need the Invite and remove members, and assign their roles permission. Search by name, email or job title, or show one department.

Inviting people

  1. Select Invite people.
  2. Enter their email address, and optionally their name.
  3. Tick the roles they should have. You can change them later.
  4. Select Send invitation.

They get an email with a link that works once, for 7 days. If they already have a Resource Manager account (for example in another organisation), they enter its password to join; otherwise they choose a name and password. Waiting invitations are listed at the top of the page, where you can Resend (a new link; the old one stops working) or Revoke them.

If your organisation uses Microsoft sign-in, people at your domains can join with Microsoft from the invitation instead of choosing a password. If it requires Microsoft sign-in, they must, unless you tick May sign in with a password (test or break-glass account) when you invite them. You can also tick or untick it later on the person's page, under Signing in.

A person's details

Select Edit next to someone to change:

  • Employee details: job title, employee number, start date and leaving date. Someone with a leaving date in the past shows as Left.
  • Line manager: approves their holidays and holds their one-to-ones. When your organisation chooses Line managers under Settings → Timesheet approval, they also approve their timesheets. Line management cannot go round in a circle.
  • Departments and groups: tick every one they belong to (see Departments and groups).
  • Roles: tick every role they should hold. They can do everything any of those roles allows. Changes take effect the next time they open a page.

Select Save. Every change is recorded in the audit log.

Removing someone

On the person's page, select Remove and confirm. They can no longer open your organisation, and their roles are taken away. Everything they recorded stays: timesheets, leave, sickness records, bookings and reviews, so your records remain complete. Projects they manage keep them as manager until you choose someone else.

People who were removed are hidden on People. Select Show people who were removed to see them. To let someone back in, open their page and select Give access again, then give them roles. Inviting them again also lets them back in, with their history.

An invitation that was never accepted is simply deleted.

The organisation always keeps an owner

Your organisation must always have at least one Tenant Owner. You cannot remove the last owner, or take the role away from them. Give someone else the role first.
