People and HR

One-to-ones

Schedule regular one-to-ones, agree notes and actions, and sign them off together.

Part of the HR module, a chargeable add-on. If your organisation has not turned it on, ask your owner (see Modules).

A one-to-one is a regular conversation between someone and their line manager. Open One-to-ones in the menu.

Scheduling

Line managers schedule one-to-ones with the people they manage. People with the Manage one-to-ones permission, usually HR, can schedule them for anyone who has a line manager.

  1. Select Schedule a one-to-one.
  2. Choose who it is With, the Date, and how often it Repeats: every week, every two weeks, every month or every three months.
  3. Optionally, choose a Template, such as Wellbeing or Probation. Its prompts go on the agenda.
  4. Select Schedule. The person is emailed.

When a repeating one-to-one is complete, the next one is scheduled automatically.

Before and during the meeting

  • Agenda: either of you can add items until the one-to-one is complete.
  • Shared notes: you both see these. Either of you can change them.
  • Private notes: only the manager and HR see these. The person never does.
  • Actions: give each one an owner and, optionally, a due date. Open actions appear on every one-to-one between you until they are done. Tick one to mark it done.

Signing off

When you agree the shared notes, both of you select Sign the notes. Once you have both signed, the one-to-one is complete, and the notes and agenda can no longer change. If someone changes the shared notes after one of you has signed, the signature is cleared so you both sign the final version.

Overdue one-to-ones

A one-to-one whose date has passed but which is not complete is Overdue. Managers see their own overdue one-to-ones, and HR sees everyone's under Overdue across the organisation.

Templates

People with Manage one-to-ones change the templates under One-to-one templates: a name and its prompts, one per line. Every organisation starts with Regular check-in, Wellbeing, Objectives and Probation.

The notes themselves are never written to the audit log or to emails, only the fact that something changed.
