People and HR
Policies
Read and acknowledge policies, and for HR, publish them and see who has read them.
Part of the HR module, a chargeable add-on. If your organisation has not turned it on, ask your owner (see Modules).
Open Policies in the menu. The home page also tells you when there is a policy to read.
Reading a policy
- Under To read, open the policy.
- Select Download the document, or Open the document for one kept in SharePoint.
- Read it all, then select I have read and understood it.
You must open the document through Resource Manager before you can acknowledge it. Each policy shows the date to read it by. When a new version is published, you are asked to read it again.
Publishing a policy
You need the Manage policies permission.
- Select New policy.
- Give it a Title, a Category and an Owner.
- Choose Who must read it: everyone, or chosen departments and people.
- Set the Days to read it. People who join later get the same number of days from when they join.
- Select Save, then Publish the first version:
- A file I upload: a PDF or Word document, up to the size shown. Files are checked to make sure they really are PDF or Word documents, and are stored securely in Resource Manager.
- A link: for example to a document in SharePoint. It must start with
https://. Make sure everyone who must read it has access to it there.
- Optionally, say What changed. Everyone who must read it is emailed.
To change a policy, publish a new version. Everyone is asked to read it again. Earlier versions and who read them are kept.
Who has read it
The policy page shows, for the current version, who has acknowledged it, who has opened it but not acknowledged it, and who has not opened it, with their due dates.
- Download CSV to keep a record. Downloads are recorded in the audit log.
- Email a reminder to everyone outstanding sends a reminder at most once a day.
Acknowledgements are never changed or deleted. If a policy no longer applies, Retire it: nobody is asked to read it, and its history is kept. You can bring it back later.
Someone who can change organisation settings sets the largest file you can upload under Settings → Policies. The server may set a lower limit.
