Resourcing

Book people onto projects on a calendar, drag bookings to move or stretch them, and split them around other work.

Open Resourcing in the menu. You need See the resourcing schedule. Booking people needs Book people onto projects.

The calendar

Each row is a person and each column a day. Choose Week, 4 weeks or 12 weeks, move with the arrows or Today, and use the department list to narrow the people shown.

  • Each booking is a bar in its project's colour, labelled with the project code and hours a day. Bookings on the same days stack one above the other.
  • Tentative bookings are striped with a dashed edge.
  • Under each day is the time booked that day. A warning sign means the person is booked for more than they have that day. It is a warning: you can still book them.
  • Weekends are narrow and greyed, and days off (holidays, leave, sickness) are shaded. The time people have already allows for their working pattern, holidays, approved leave and sickness.

Hover over a booking, or move to it with Tab, to see its client, project, task, hours a day and dates. Press Escape to close the card.

Select a person's name to see their bookings week by week.

Leave and sickness

Approved leave and sickness show on each person's row as grey, hatched bars, and their capacity is reduced. You see the leave type (such as Annual leave) if you may see that person's leave; otherwise Away. Sickness shows as Off sick to people who mark people off sick, and as Absent to everyone else.

If you may record leave or sickness for others, select Record leave or sickness: choose the person, the leave type or Off sick, the dates and, for a single day, whether it is the whole day, the morning or the afternoon. Leave is recorded already approved and counts against the person's allowance, which helps when you start part-way through a leave year. Sickness records the dates only. The person is emailed; for sickness, so is their line manager.

You can also drag across days, choose Leave and sickness as the client, then the leave type or Off sick. That records whole days. Select a leave bar to open the leave and cancel it; select an Off sick bar you recorded to set the last day or remove it if it was recorded in error.

Booking by dragging

  1. In a person's row, press on the first day in the empty line under their bookings and drag to the last day. To book one day, click it.
  2. Choose the Client, then its Project (and a Task if it has tasks; choosing a project on its own fills in the client), enter the Hours a day, and tick Tentative if the work is not confirmed.
  3. Leave Skip weekends, days off and leave ticked to book only the days the person works. That leaves out weekends, days they never work (for example, if they don't work Wednesdays), public holidays and approved leave. The booking then shows as separate pieces either side of those days. Untick it to book every day you dragged over.
  4. Select Book.

A weekend dragged over on its own is always booked: that is weekend work.

Moving and stretching

  • Drag a booking to move it to other days, or up or down to give it to someone else. Its hours and days of the week stay the same.
  • Drag either end of a booking to make it start or finish on another day. If you stretch a booking of 3 hours a day over more days, it is 3 hours on each of them.

Press Escape while dragging to put it back.

When bookings overlap

If a new booking, a move or a stretch lands on days that already have one of that person's bookings, you are asked what to do:

  • Split them around this takes those days out of the other bookings. A booking in the middle of a longer one leaves the longer one as two parts, one either side.
  • Keep both books the person twice on those days.

Changing the work, hours, splitting and deleting

Select a booking (click it, or move to it with Tab and press Enter):

  • Client, Project and Task show what the booking is for. Change any of them and select Change the work to move the whole booking to other work. Days already accepted into timesheets stay as they were recorded; days the person dismissed are offered to them again.
  • Hours a day changes every day of the booking.
  • Split cuts the booking in two from the day you choose, and the second part becomes a booking of its own that you can move or change separately. If you clicked on a day of the booking, that day is suggested.
  • Delete this booking removes it.
  • Open the booking shows all of its dates.

Without dragging

Everything can also be done with forms:

  • Book someone at the top of the page, with the same Skip weekends, days off and leave option.
  • On a booking's page:
    • Move gives it a new first day or someone else.
    • Stretch or shorten changes its first and last day.
    • Hours a day and Split.
    • Change one week changes the hours or days of one week only, for example to book only Monday to Wednesday that week. Leave the hours empty to book nothing that week.

If a change overlaps other bookings, the page asks the same question before saving.

Every booking and change is recorded in the audit log.
