People and HR

Sickness and return to work

Report sickness, hold return-to-work meetings, and keep health information private.

Part of the HR module, a chargeable add-on. If your organisation has not turned it on, ask your owner (see Modules).

Open Sickness in the menu to report an absence. Line managers and HR also see the absences of the people they look after, and the return-to-work meetings to hold.

Health information is private

Reasons, fit notes and return-to-work records are health information. Only these people can see them:

  • the person themselves;
  • their line manager;
  • people with the Sickness detail permission, usually HR.

Everyone else, including the team calendar and timesheets, sees only Absent. Every time someone opens an absence, it is recorded in the audit log. Emails never include health information: they only say there is something to look at.

Reporting sickness

  1. Open Sickness and select Report sickness.
  2. Enter the First day off. If you went home ill part-way through the day, choose Off from the afternoon.
  3. If you are back, enter the Last day off. If you are still off, leave it empty and add it when you return.
  4. Optionally, add a short Reason and how it is Certified: self-certified, or a fit note from a doctor with its dates.
  5. Select Save. Your line manager is told.

Only your working days count. Sickness comes off your expected hours on your timesheet.

A line manager can record an absence for someone they manage in the same way, by choosing Who is off.

People who plan time (usually Resource Managers) may be allowed to mark people off sick from Resourcing. They record the dates only, never a reason or fit note, and you and your line manager are emailed when they do.

Back at work

When someone is back, open the absence and use Back at work to enter the last day off.

Return-to-work meetings

Sickness lists the Return-to-work meetings to hold for the people you manage.

  1. Open the absence.
  2. Enter the Meeting date, who it was Held by, your Notes and any Adjustments agreed, such as a phased return.
  3. Select Save return to work. The person is asked to read it.

The person opens it and selects I have read this, with a comment if they want. After that the record cannot change.

Patterns

Last 52 weeks shows each person's spells (separate absences), days lost and Bradford factor: spells × spells × days lost. Several short absences score higher than one long one. Use it to start a supportive conversation, never as a decision on its own.

How long records are kept

Absences, with their return-to-work records, are deleted a set number of months after they end. The default is 36 months. Someone who can change organisation settings sets it under Settings → Sickness absence. A person with Sickness detail can delete an absence recorded by mistake.
