Timesheets on someone's behalf

Correct or fill in a colleague's timesheet, or submit it for them, with every change recorded and the person told.

Sometimes a manager needs to change someone's time, for example when they are away, or to fix a mistake before approving it. Open Team timesheets in the menu.

Who can do this

  • Edit others' timesheets lets you add, change and delete time on someone's timesheet.
  • Submit others' timesheets lets you submit a week for them, or withdraw a submission.
  • People who manage members can do this for anyone in the organisation. Project managers can do it for people on the teams of the projects they manage.

Changing someone's week

  1. In Team timesheets, choose the week with the arrows. The list shows each person's status and hours.
  2. Select Open timesheet. A banner at the top says whose timesheet you are changing.
  3. Change it exactly as you would your own, in the day panel. You can also correct a week that has been submitted but not yet approved. An approved week has to be reopened first (see Approving timesheets).
  4. Submit week sends it for approval on their behalf, if you have that permission.

What is recorded

  • Every change is in the audit log with the values before and after, who made the change, and whose timesheet it was.
  • Entries you change show Changed by … with the date and time, to the person and their approver.
  • The person is emailed once each time you save or submit, with a link to the week.
