Working patterns and holidays

Set the hours people normally work, and the public holidays your organisation keeps.

Working time sets the hours people are expected to work, and the days nobody is expected to work. You need the Manage people permission. Open Administration → Working time.

The normal working week

The Normal working week applies to everyone who does not have a pattern of their own. If you have not set one, Monday to Friday, 7.5 hours a day, applies.

  1. Enter the hours for each day, such as 7.5 or 7:30. Leave a day empty if it is not worked.
  2. Choose the date it applies From.
  3. Select Save pattern.

A pattern applies from its date until the next one, so changing the hours never rewrites earlier weeks. The Pattern history lists every pattern. Removing one brings back the one before it.

Someone who works different hours

For a part-time person, or anyone whose week differs, open their page under People and set their Working pattern the same way. Their own pattern takes the place of the normal week from its date.

Public holidays

  1. Choose the Country or region: England and Wales, Scotland, Northern Ireland or Latvia.
  2. Select Add public holidays for the year. Days already listed are left alone, including any you have moved.
  3. To add a company day, such as a Christmas closure, use Add a holiday.

Use the arrows to move between years.

People in different countries

If some of your people take another country's holidays, for example staff in Latvia, keep a holiday calendar for each:

  1. Under Holiday calendars, add a calendar, for example Latvia.
  2. Choose it at the top of Public holidays and add its holidays, as above. Latvia's are worked out for you, including Midsummer and the Mondays given when 4 May or 18 November falls at a weekend.
  3. On each of those people's pages under People, choose the calendar in Public holidays from, under their working pattern. Until there's a second calendar, that section says which calendar everyone follows and links here.

Everyone else follows the default calendar. A person's own calendar decides their expected hours, their bookings and which days their leave skips. Calendars can also be imported, and the Float converter brings across Float's holiday list.

Where working time is used

  • Timesheets: each day shows the hours expected. Days off and holidays are shaded, and the week shows Expected hours next to the Week total. A holiday shows a sun icon with its name.
  • Out of hours: time recorded on a day that is not in someone's pattern, or on a holiday, counts as out of hours. See My timesheet.
  • Leave: annual leave allowances and requests use the pattern to work out how much each day is worth. These are coming in the HR release.

Every change is recorded in the audit log.
