Clients

Clients and contacts

Add the organisations you work for, their references, default cost centre and contacts.

A client is an organisation you do work for. Projects belong to a client. You need the Create and change clients and cost centres permission. Open Administration → Clients.

Adding a client

  1. Select New client.
  2. Enter the Client name. It must be different from your other clients' names.
  3. Optionally add a Reference, your own code for the client (for example from your accounts system), and a Default cost centre. New projects for the client start with that cost centre.
  4. Add any Notes. They are for your organisation only and are never shown to the client.
  5. Select Save.

Finding a client

The list shows active clients, A to Z. Search by name or reference, or choose Archived or All under Show, then select Filter.

Contacts

Open a client and choose Contacts. Add each person's name, and optionally their job title, email address and phone number.

  • One contact is the primary contact. It is shown on the client list. The first contact you add becomes primary automatically. To change it, edit another contact and tick Make this the primary contact.
  • Removing the primary contact makes the next contact primary.

The audit log records that a contact was added, changed or removed, and which fields changed, but never the contact's details. Those are personal data.

Billing and settings

Each client can have its own currency, VAT, billing increments and more. See Client settings.

Archiving a client

At the bottom of Details, select Archive client. Archived clients leave the lists and cannot get new projects, but everything recorded against them is kept. Restore client brings one back.
