Exports
Download time or the billing ledger as CSV or Excel with the columns and formats you choose.
Open Administration → Exports, or Exports on the Reports page. You need the Run exports permission. Sharing an export with others needs Manage export templates.
Running an export
Each saved export has its own card. Choose the From and To dates and select Download. The file is created there and then, and the run is listed under Recent exports and recorded in the audit log.
Creating an export
- Select New export, and choose what to export:
- Time entries: every entry, with its comment and treatments.
- Billing ledger: approved time valued with your rates (see Billing and write-offs). This needs permission to see charge rates.
- Time entries with billing: every entry, with its share of what was billed. See below.
- Give it a Name.
- Under Columns, tick the columns you want and put them in order: drag a row by its handle (the dotted grip on the left), or use its up and down arrow buttons. The ticked columns are numbered in the order shown. Not sure what a column holds? Point at, tap or select the ⓘ beside its name. Type a Header to rename a column, for example "Hours" as "Qty".
- Choose the Format: CSV or Excel, how dates, time and money are written, the decimal separator, and the CSV separator. If decimals use a comma, separate CSV columns with a semicolon.
- Choose Which rows: the weeks to include, and optionally one client or project.
- To stop the same time being exported twice, tick Mark the approved weeks it includes as exported. The next run of Approved, not yet exported then leaves them out. An exported week can still be reopened if it needs correcting.
- Select Save.
The work
Project department is the department that owns the work: the task's, else the project's. Client: Project: Task puts all three in one cell, for example "Acme: Website: Design".
People and comments
Both exports can include the person's Job title, Department, Roles, Grade and Line manager. Someone in several departments or roles has them all, separated by semicolons.
Time entries offer three comments:
- Comment: exactly what the person typed. It never changes.
- Client comment (tidied): the rewrite made for clients under Reports → Client comments. Empty if nobody has tidied it.
- Comment for the client: what a client report shows. That's the tidied comment if there is one, otherwise the original only where the project's settings allow original comments on client reports, otherwise nothing.
Time entries with billing
The billing ledger can bill several entries on one line. For example, with time rounded up to the hour per task per day, 30 and 15 minutes on the same task make one billed hour. Time entries with billing keeps one row per entry and gives each its share of the line, in proportion to its recorded time: here 40 and 20 minutes, and two thirds and one third of the money.
- The shares add up exactly to the line, so totals match the billing ledger.
- Entries on its billed line shows how many entries share a line; 1 means billed on its own.
- Entries in weeks that aren't approved yet have empty billing columns.
Safety
- Money columns appear only if you can see that kind of rate. Cost and margin need permission to see cost rates. If someone runs a shared export without that permission, those columns are left out of their file.
- Anything that a spreadsheet would treat as a formula is written as plain text.
- In Excel files, hours and money are real numbers, so you can add them up.
