Leave allowances

See your leave balance, and set allowances, carry-over and adjustments for your people.

Leave is counted in days, with half days. Everyone can see their own balance under My leave. People with the Manage leave permission see everyone's under Leave, and line managers can open the leave of the people they manage.

Your balance

My leave shows the current leave year. Use the arrows to see other years.

  • Allowance: the annual leave you are entitled to this year.
  • Carried over: unused leave from last year, up to your organisation's limit. If it has to be used by a date, the date is shown.
  • Adjustments: days added or taken away, each with a reason.
  • Taken and Booked: leave you have had, and leave still to come or waiting for approval.
  • Remaining: what is left to book.

Time off in lieu (TOIL) is earned when an approved timesheet entry is marked Time off in lieu under You are paid. It is counted in hours, at the entry's pay multiplier.

How allowances are worked out

Your organisation sets one allowance for someone working the normal week all year. Everyone else gets a share, rounded up to the nearest half day:

  • Part time: by their working pattern's weekly hours. See Working patterns and holidays.
  • Starters and leavers: by the part of the leave year between their start and leaving dates, set on their page under People.

A leave manager can set a person's own allowance for a year instead. It is used as entered.

Managing leave

  1. Open Administration → Leave allowances. The table shows everyone's balance for the year.
  2. Select a person.
  3. Under Allowance for this year, enter their allowance, or leave it empty to use the organisation's. Select Save allowance.
  4. Under Adjust the balance, enter the days (use a minus sign to take days away, such as -1.5) and a reason. Select Add adjustment.

Adjustments cannot be changed or deleted: to undo one, add another the opposite way. When you start using Resource Manager, record the leave people have already taken this year as an adjustment.

Recording leave for someone

People with Record leave for others (Resource Managers by default) can record leave someone has already booked, for example in the system you used before. Use Resourcing → Record leave or sickness. The leave is approved straight away, counts against the person's balance and is emailed to them. They cannot record their own leave: book it under My leave as usual.

Leave types and settings

Leave types lists the kinds of leave people can take, such as annual leave, TOIL, unpaid or compassionate leave. Each counts against the annual leave allowance, the TOIL balance, or nothing. Switch off a type you no longer use.

Under Settings → Annual leave, someone who can change organisation settings chooses:

  • the month the leave year starts;
  • the allowance for the normal week;
  • whether public holidays are on top of the allowance or taken from it;
  • how much leave can be carried over, and how many months people have to use it.

Every change is recorded in the audit log.
