Project and task settings

Give a project or a task its own billing increment, rounding, time recording rules and more.

A project's Billing and settings page works like client settings. Each setting either uses the value it inherits or is set for this project:

organisation → client → project → task

So a project inherits from its client, and the client from the organisation. Select Save when you are done. Anything left on Use the …'s setting keeps following the level above.

What a project can change

As well as the client settings (currency, VAT, billing, rounding, out-of-hours billing), a project can set:

  • How time is recorded: hours only, or start and end times.
  • Shortest comment on time entries.
  • Whether time can be recorded while the project is tentative or on hold.
  • When time goes over budget: warn, ask for a reason, or refuse.
  • Allow tasks to be given more than the project budget.
  • Call-off warnings at chosen percentages of the balance used.
  • Whether client reports use the original timesheet comments.

Task settings

On Tasks, select Settings next to a task to give that task its own billing treatment, increment, rounding or round-per. Everything else comes from the project.

Applying billing to time already recorded

Changing whether work is billable affects only time recorded from then on. To change time already recorded, for example after marking internal work non-billable, save the setting first, then under Apply billing to time already recorded choose the first day to change and select Apply to time already recorded. You need to be able to manage rates as well.

Each entry gets the billing it would get if it were recorded today, in or out of hours. Entries already billed that way are left as they are. Approved time is valued again: the week's ledger lines are reversed, with the reason, and the week is valued afresh, so reports, budgets and the billing ledger all agree. Weeks that are locked or exported, or that have write-offs, are left alone, and the message says how many entries that was. The change is recorded in the audit log.

Locks

A setting locked higher up (by the organisation or the client) is shown with a lock icon and cannot be changed here. A project can also lock a setting, so that none of its tasks can change it.

If you can see a project but not change it, its settings are shown read-only.
